How to use the Cabinet

The Cabinet is your stock, orders, analytics and team in one place. Here's a quick route through every tab.

Where to start

Pick your role — the steps below are the same ones shown in the cabinet after sign-in.

  1. 1Order BrandBar products for yourselfOpen the catalogue, click “Add to order” for the products you need, then open “My BrandBar order”.
  2. 2Find your own purchaseIn “All orders”, open “My orders”. Check the status here; confirm receipt only after the goods actually arrive.
  3. 3Connect a venue customerAccept the venue’s network request in “Clients”. Its orders then stay separate from your own purchases.
  4. 4Find a customer orderIn “All orders”, open “Customer orders” to see the venue, contents, payment and fulfilment stage.
  5. 5Add your own price list only if neededUse this only when venues should order your own range. Buying from BrandBar does not require a price-list import.

Cabinet sections

1 · Venue stock

  • Add the BrandBar catalog items your venue uses.
  • Set the current level and a minimum — when stock drops below it, the item is highlighted and appears in recommendations.
  • The “Restock” button adds the item straight to the order.

2 · Order draft & my orders

  • The order is assembled from stock, the catalog or the cocktail constructor.
  • Confirm the order and follow its status: confirmed → picking → on the way → delivered.
  • The full history lives in the “My orders” tab.

3 · Till, money and reports

  • Record sales by saved recipes — ingredients are deducted from stock automatically.
  • “Money and reports” shows spend, revenue, margin and top items.
  • The forecast measures 30-day consumption and shows the recommended reorder quantity.

4 · Stocktake

  • In the “Stocktake” tab, enter the actual quantities.
  • The system shows the variance against records — shortage, over-pour or write-offs, per item and in money.

5 · Network & staff (the “Network” plan)

  • Add venues to the map, invite owners and bartenders.
  • Everyone gets their own access level: a bartender sees only their work, an owner their venue, a distributor their network.
  • Invite codes for events and bartenders are issued right in the Cabinet.

6 · Integrations

  • Connect your POS (Poster, Choice, KeyCRM and others) — sales sync automatically and stock is deducted on its own.

Data security: honest answers

Who can see my stock and sales?

BrandBar can see all business data you enter or upload to the workspace. Other distributors do not have access to your network. You choose what to share: your own purchases do not require a database of your venues.

Why does BrandBar need my data?

Purchase history supports repeat orders, prices and costs support calculations, and order records support fulfilment tracking. Agree on the scope and permitted use before a pilot. The demo uses fictional examples.

How is my password stored?

The database holds only a cryptographic hash (bcrypt). It can't be reversed, so nobody knows your password — including us.

Where does the data physically live?

The backend uses PostgreSQL. Confirm and agree on the hosting location, infrastructure providers, backups and retention before uploading real data.

How do I finish a session?

The “Log out” button ends the session token on this device. Always log out on shared computers.
